Make sure the message sounds like you. Edit anything that feels off before you send it.

One important rule: The GPT helps you write. You are always the person who decides what gets sent.

Copy, paste, and go

Start with one of these.

Replace the words in brackets with what you know. It is okay if you do not have every detail.

First email

Write a first email to the DON at [facility] in [state]. We have not spoken yet. I want to learn who handles travel nursing and agency partners. Keep it warm and under 120 words.

After a call

Here are my call notes: [paste notes]. Write a friendly follow-up email, a short voicemail, and a CRM note. Do not add facts I did not give you.

Before a call

I am calling [facility] and speaking with a [role]. We know: [paste what you know]. Give me the best opening, three questions, and a simple close.

The GPT will give you a ready-to-read email. If you want it shorter, warmer, more direct, or written for a voicemail instead, simply say so.

Before you copy a message

Do this quick check.

  • Is the facility name correct?
  • Is the person's name and title correct?
  • Does the message sound respectful and like you?
  • Does it ask for one simple next step?
  • Did the GPT avoid adding rates, promises, or facts you did not provide?
